You'll provide billing and payroll support and more for our Pacific Northwest service business. To be a good fit for this opportunity you will have solid experience (1-3 years) with data entry responsibilities, and you can demonstrate your detail orientation and strong attention to accuracy. You also will need familiarity with computer applications such as MS Excel. Experience in the HVAC industry is a plus.

In the Kent office we provide design and construction as well as service and repair of building mechanical systems in Washington, Idaho, and Oregon, and the facility includes everything from fabrication to engineering to administration. Joining the service side, you will report to the General Manager and take your daily direction from the Area Coordinator/Administrative Support Supervisor. You will work with an Administrative Support Specialist and a Receptionist in the office.
You will focus on inputting data for payroll and billing, among other activities, primarily using WennSoft, a Windows-based industry-specific business management program. With regard to payroll you will enter information for our people and send it to the corporate office. Billing mainly involves data entry from field documents such as work orders and spreadsheets. You also will process purchase orders, proposals from the sales department, and contribute in other areas.
There are three main aspects of the service business and they will impact your activities:
We provide regular service and maintenance per contracts.
During service calls we may discover equipment in need of repair, and we'll provide a quote to handle those repairs. For the most part such repairs need to happen quickly, so we usually turn these quotes around fast.
We respond to both emergency calls and requests for planned repairs and upgrades from both existing and new customers.
This means you will have tasks that need to be taken care of on a daily and monthly basis, things that need to be done in short order as they come up, and activities associated with longer term projects. On a regular basis you'll interact with the Field Service Supervisor as well as about 15 mechanics who call in from the field, providing information, ensuring payroll reporting is accurate, and more. In addition you'll work with the Sales team a couple of times a month regarding bids and other issues.
